The fastest finance teams we work with don’t spend more time on money — they spend less. When we looked at how 12,000 customers use kaori, the most efficient ones shared a handful of habits that keep their weekly finance work under 20 minutes.
1. One operating account, many sub-accounts
Instead of juggling banks, they keep a single operating account and open sub-accounts for payroll, taxes and runway. Money moves between them instantly, and every balance has a clear purpose.
2. Cards with limits, not reimbursements
Every person who spends gets a virtual card with a monthly limit and a category lock. Receipts are captured at the point of sale, so expense reports simply disappear.
One card per person or per vendor
Limits set by role, not by request
Freeze and unfreeze from the app in one tap
Teams that replace reimbursements with limited cards cut month-end close time by 40% on average.
3. Approvals by amount
Small payments go through automatically; larger ones route to the right approver. The rules are set once and the team never has to chase a signature again.
“Our finance week used to start with a two-hour meeting. Now it’s a quick look at the dashboard on Monday morning.”
Priya Nair, COO at Arcadia
None of these habits need new hires or a big project. Pick one, set it up this week, and add the next one when it feels routine.
